Office Policies

We understand  that unanticipated events happen in everyone’s life and that not every appointment will be kept as scheduled. In our desire to be effective and fair to all clients, and out of consideration for our therapists’ time, we have adopted the following cancellation policies:

  • Please give 48 hours notice when canceling an appointment. Because we are a small business and have limited resources, this allows us the opportunity to schedule another client in your appointment slot.
  • If you are unable to give us 24 hours advance notice you will be charged a no-show fee for in-office appointments up to the dollar amount of your scheduled treatment. This amount must be paid before your next scheduled appointment.

No-shows: Anyone who either forgets or consciously chooses to forgo their appointment for whatever reason will be considered a “no-show”. They will be charged for their “missed” appointment and future service will be denied until payment is made.

Arriving late: Appointment times have been arranged specifically for you. If you arrive late, your session may be shortened to accommodate others whose appointments follow yours. Depending upon how late you arrive, your therapist will then determine if there is enough time
remaining to start a treatment. Regardless of the length of the treatment actually given, you will be responsible for paying for the full session. Out of respect and consideration for your therapist and other clients, please plan accordingly and be on time.

IMPORTANT: During cold and flu season, we ask that you do not schedule or keep an appointment if you are ill. In some cases, you may feel worse the following day. Under these and other similar circumstances, we will accept a cancellation that is less than 24 hours notice and we can reschedule at a later date when you will enjoy your massage.

GIFT CERTIFICATES
Gift certificates are not offered for purchase. Please call directly to the office to discuss scheduling and paying in advance for an appointment for a loved one.

DOCTOR’S PRESCRIPTION
A “doctor’s prescription” for massage, bodywork, or somatic services means direction by a licensed medical doctor, osteopath, chiropractor, podiatrist, psychologist with a doctorate in psychology, or dentist for initiation of massage, bodywork, or somatic services for a patient for whom the referring doctor is providing treatment or consultation services within the scope of his or her license. This direction must be in writing and must contain the following: Name of the patient; name and signature of referring doctor; the purpose of the referral; and description of conditions or needs to be addressed by the massage, bodywork, or somatic therapy.

INSURANCE COVERAGE
Currently, few health insurance companies will cover massage therapy services even with a doctor’s referral. We recommend that all of our clients check with their provider and their referring doctor’s office. At the time of service, you will need to pay us for the therapies
provided. We will happily give you a receipt to forward to your provider for possible reimbursement.

USE YOUR FLEXIBLE SPENDING/HEALTH SAVINGS ACCOUNT FOR MASSAGE
Some health insurance company’s flex spending accounts and health savings accounts will cover massage therapy services. Many of our clients use their FSA/HSAs towards their bodywork, often planning for the coming year for how much they want to put towards regular massage that is part of their personal health and wellness program. We recommend that all of our clients check with their providers. You will need to pay us for the services provided. We will happily give you a detailed dated receipt for you to forward to your provider for possible reimbursement. Massage therapists do not diagnose and we cannot provide you with a diagnosis code.
